A shop’s biggest asset is the stock on its shelves and in its storeroom. When it isn’t tracked properly, money disappears quietly: items run out, too much gets ordered, and shrinkage goes unnoticed.
Here are simple inventory management rules that work in any shop.
Why inventory matters
Good inventory answers these questions instantly:
- Which items are about to run out?
- Which items haven’t sold in a long time?
- What is all the stock worth?
- Does the counted stock match the recorded stock?
1. Give every product a record
Each product needs a name, barcode, category and unit (piece, kg, box). Name similar products precisely: not “Tea” but “Ahmad Tea 100g”.
2. Link sales to stock
Most mistakes happen when sales and stock are tracked separately. In accounting software every sale should reduce stock automatically, so nothing has to be recounted by hand.
3. Record incoming goods properly
When a delivery arrives, enter the quantity and purchase price for each item. The software then:
- increases stock automatically;
- calculates your margin from the purchase and selling price;
- records what you owe the supplier.
4. Set a minimum stock level
Define a minimum quantity for each product. When stock drops below it, the software warns you — so you can reorder before the shelf is empty.
5. Count stock regularly
Once a month (or at least once a quarter), count your stock and compare it with the software. If there is a difference, find out why: a data-entry error, damaged goods or loss.
6. Keep a history of changes
Every change — who, when and by how much — should be kept. It makes errors easy to find and keeps staff accountable.
Isn’t Excel or a notebook enough?
At first, maybe. But with hundreds of products, manual tracking leads to mistakes. Here’s how to switch: Moving from a notebook or Excel to POS software.
